Print Management and Enterprise-Wide Cost Reduction

Reducing overhead is an omnipresent concern for any business operation. At a time when top-heavy global organizations are eager to reduce costs by cutting unnecessary or redundant jobs, an enterprise-wide improvement in print management can increase staff productivity throughout the entire organization. This increase in efficiency and productivity results in lower operating costs and can reduce or delay the need for downsizing or layoffs.

Improve Productivity with Advanced Print Management

The most effective way to improve productivity is to automate repetitive processes. For example, most native OS print spoolers offer the option to print multi-page jobs collated or one page at a time. This feature eliminates the hours of hand work required for either collating or separating printed documents for binding, folding, inserting into envelopes, or whatever the next step may be in the document production process.

Not only can advanced print management software handle print process automation such as collating, of course, but it can also scale up the automation throughout an entire enterprise. So rather than simply collating one print job to one printer, print management software can collate multiple jobs to one printer, or separate one job across multiple printer so that the printing load is shared and balanced.

e-Documents and Printer Management: "Green is the new green."

One of the most immediate ways to reduce costs throughout an organization is the implementation of electronic documentation delivery. By using electronic documents (printing documents to a computer file rather than to a sheet of paper) you eliminate paper and ink or toner costs previously associated with that particular print job.

For example, if a design firm routinely prints hard copies of proofs to fax to clients, the costs associated with the physical printing of this process are completely eliminated if you can print directly to a fax server using printer management software that surpasses  the functionality of native print spoolers.

If the organization uses pdf authoring software with enhanced functionality and security features such as the ability to insert comments or digitally "sign" and encrypt documents, this further reduces the need for printing documents to paper prior to delivery.

A reduction in paper and toner usage just for one task, such as faxing proofs, when implemented across an entire enterprise will precipitate drastic reductions in daily operating costs. Moreover, with the current cultural focus on the environment, a company who enacts a major shift towards electronic document printing and delivery can use this in a marketing capacity as part of a greater corporate environmental initiative.

"You have to spend money to make money."

That old adage has never been as a propos as it is for print management software. By investing in a scalable, long term enterprise print management solution, an organization can redirect thousands of labor hours to ensure a more efficient use of time and labor. Moreover, this same software solution can cut operating expenses by reducing the reliance on paper-and-ink document delivery to more efficient and fast methods such as fax or email. So the next time your organization needs to cut costs, consider implementing a solution that will improve the operation of your workforce, rather than just making the workforce smaller.
