Privacy is something that we all expect to have, and we want our confidential information to be kept safely so that it doesn't get into the hands of people who will use it for the wrong reasons. This is why the importance of secure email in the workplace is so important. We want to make sure no one else is allowed to access our and other people’s private information when we are trying to get it to the people who need it.

Many people don't realize the importance of secure email. They assume because they use an email provider that claims to be secure, that they are automatically covered. The truth is, that companies like Yahoo, Gmail, and AOL have all had breeches in their security. It's not hard to retrieve information from someone else's e-mail account. It's important that you are careful about what emails you open. Just opening an email from someone who sends out spam can end up leading to someone else being able to access yours and other people’s information.

One of the best things that you can do to make sure that you don't end up sharing someone else's information over the web it to keep up to date on the current email scams that are out there. There are lots of sites that share this information with you. This way you will know what to watch out for. Send these messages directly to your spam folder and then delete them permanently.

If you do happen to open one of these emails and are afraid that you may have given someone else access, there are a few things that you can do in order to make sure that other people are not able to access the important information that you may be sending back and forth through email. The first step you need to take is to change your password. This will block the particular person from accessing your files. You should change your password about every 2 to 3 months just to be safe. You can also set up anti-viral software on your computer to make sure the person doesn't have access to your hard files as well.

Taking simple precautions can make all the difference in the workplace. Make sure you have anti-viral software, as well as software that removes adware and spyware from your computer. Change your passwords often, and don't open any e-mails that you aren't sure that you know who the sender is. This will help you keep yours and your client’s information safe and out of the hands of people who can misuse the information.

Frank Thompson covers internet, email and business technology topics, stressing the importance of secure email and internet security for companies to protect their information.
